Kindly review these Terms and Conditions thoroughly before finalising any booking with us, as they outline your legal rights and responsibilities concerning your reservation. If you do not agree to these Terms and Conditions, please refrain from making any bookings with us. 

Booking Terms and Conditions Azure Travel I.K.E.

As Azure Travel I.K.E (company registration number 172898806000, EOT 0933E60000818001) ("We", "us" and "our") located at Address: GR 54629, Greece, CENTRAL MACEDONIA, Thessaloniki, St.: Vakchou 20.

In these Booking Conditions, "you" and "your" refer to the first named person (main person) on the booking and/or SubAgent, as well as all other persons on whose behalf a booking is made or to whom a booking is transferred. The terms ‘package’, ‘organiser’, and ‘lack of conformity’ have the same meanings as defined in the relevant regulations. 'Arrangements' encompass all holiday, tour, travel services, accommodation, and other arrangements specified on your confirmation (including any additions or amendments).

1 Our function in your reservation

We manage a booking platform (accessible online) that allows users to search, compare, combine, and book various travel services, including flights, hotels, and transfers (each referred to as a "Travel Service"). We do not own or operate any of these Travel Services. When you search for Travel Services and make a booking through our platform, our role is solely to gather and provide information about those Travel Services, facilitate your contract with the individual provider of the Travel Service (referred to as the "Service Provider and/or Supplier"), and establish payment terms between you and the Service Provider. The Service Provider will be responsible for delivering the Travel Service to you.

Our obligations to you may differ depending on whether we package arrangements for you or act as an agent for another travel supplier. References to packages in these Booking Conditions pertain to packages for which we are the organiser. If we sell you arrangements on behalf of another travel supplier as an agent, your contract will be with that supplier. We shall only be responsible to you in accordance with section 15(A)(ii) of these Booking Conditions.

2. Information Accuracy

We strive to maintain the accuracy of all information and prices provided in our advertising material and on our webpage.. However, occasional changes and errors may occur, and we reserve the right to rectify them accordingly. Prior to confirming your booking, it is imperative that you verify the current price and all other relevant information pertaining to the arrangements you intend to book. Additionally, please note that we shall not be held liable for booking errors attributable to you or caused by unavoidable and extraordinary circumstances as defined in clause 11.

3. Our Agreement

Detailed information about the main features of your trip is available on our website azure-travel.com prior to making a booking.

Before completing your payment, you confirm that you have read and agree with: the price details, available promotions, any extra charges, the cancellation conditions, and this Agreement (Booking Terms and Conditions).

These elements, along with our Terms and Conditions, Privacy Notice, and any written communication published before your booking, constitute the agreement between you and us.

By proceeding with the booking, you agree to the following key terms:

  • The contract is considered accepted by you once the initial payment is made. However, it becomes binding for us only after the booking is confirmed and the full payment has been received.
  • If you cancel your booking, an administrative cancellation processing fee of 100 EUR will apply, unless the provider applies additional charges.
  • Cancellation may result in charges of up to 100% of the total booking value, depending on the provider’s terms.
    • If you chose a NON-REFUNDABLE rate, cancellation results in full loss of the paid amount.
    • For refundable rates with specific conditions, both the provider’s cancellation fee and our administrative processing fee will apply.
  • Changes to confirmed bookings are allowed only in certain circumstances and are subject to a processing fee.
  • We reserve the right to modify or cancel the agreement under certain conditions, offering reasonable alternatives, discounts or compensation, where applicable.
  • While we guarantee that your booking will be handled with care and responsibility, our financial liability is limited in accordance with this agreement and applicable laws.
  • The main booker must be at least 18 years old and is responsible for all persons included in the reservation. The main booker confirms that has communicated and obtained acceptance from all parties regarding the booking conditions and information available prior to payment (such as price details, promotions, extra fees and taxes, and cancellation policy).
  • The service providers delivering elements of your travel package operate under their own terms and conditions, which form part of this agreement.
  • It is essential to carefully check all booking details immediately after receiving your confirmation. Later changes may be impossible or subject to extra charges.
  • Some of these conditions may limit or exclude the provider’s liability towards you.

4. Online Bookings

By booking holiday arrangements and providing personal and payment details on our website, you are making an offer to purchase the selected arrangements, subject to availability. Upon receipt of your offer, we will contact the supplier to confirm availability at the quoted price. Payment will be processed, and an invoice issued upon acceptance of your offer.

In the event that the arrangements are available but not at the quoted price, you will be given the option to purchase at the revised price, with confirmation issued accordingly.

5. Payment

By completing a booking with us, you acknowledge and agree that:

  • All passenger details provided in the booking are accurate and complete (please ensure that names match those in the relevant passport);
  • You have thoroughly reviewed and accepted all the terms and conditions outlined on this webpage, agreeing (on behalf of yourself and all others listed in the booking) to abide by them as well as any relevant Service Provider's booking conditions and website terms of use;
  • You have read and understood our Privacy Policy, and undertake to share our Privacy Policy with each person listed on the booking; and
  • At the time of booking, you are at least 18 years old, and if you are ordering services with age restrictions, you confirm that you and all members of your party meet the age requirements for those services.

Confirmation of your selected Travel Service(s) will be contingent upon your payment of the agreed initial amount on behalf of the Service Provider, or full payment, including applicable costs and charges. Your booking becomes confirmed and contracts between: (i) you and us; (ii) you and the Service Provider(s); and (iii) where we act as a sub-agent, you and the agent, will only be established once we send you a confirmation email on behalf of the Service Provider(s), containing a valid Service Provider reference number ("Booking Confirmation"). Please review your Booking Confirmation carefully and promptly notify us of any inaccuracies or omissions, and we will endeavour to assist you accordingly.

Booking requests may take up to 72 hours to process. 

A booking is considered confirmed only upon receipt of a Booking Confirmation with a valid reference number. In rare instances, we may be unable to confirm a booking, such as if payment fails or if there are changes in price or availability. Should this occur, our team will attempt to rebook the affected Travel Service at the same rate. 

If not feasible, we will contact you via phone or email, or personal account, to discuss further steps. You may opt to cancel your booking request at this stage or authorise us to proceed with the booking with agreed-upon changes. 

Please note that in some cases, costs may have increased during this period. Any cost adjustments will be communicated to you before finalising the booking, and you will be required to make the necessary payment to confirm the booking.

When accessing a Service Provider's website in response to your search request or booking request, you agree to abide by the website's terms of use set forth by the Service Provider.

Accepted Payment Methods: We welcome payments made via bank transfer, debit/credit cards, including Visa, MasterCard, and Maestro. There are no charges imposed by us for card transactions. However, please note that your bank or card issuer might levy an extra foreign transaction fee for cards not registered in Greece.

The acceptance of cards is contingent upon passing security and fraud checks. We retain the right to decline or annul your Travel Service(s) booking should any part of these checks be unsuccessful.

All payments on the Azure Travel website are processed in € EUR.  Other listed currencies are for informational purposes only.

6. Insurance

It is a requirement of our agreement that you have adequate travel insurance covering your arrangements. This insurance should at least cover medical emergencies and repatriation in case of accident or illness. Details of suitable insurance policies are available upon request. If you choose to travel without adequate insurance, we cannot be held liable for any losses incurred, for which insurance cover would have otherwise been available.

7. Special Requests

Please inform us of any special requests related to your arrangements at the time of booking. While we will make every effort to accommodate reasonable requests, we cannot guarantee fulfilment. If we are able to confirm a specific request, it will be noted on your confirmation (subject to a possible fee). 

However, if requests are not confirmed in writing on our confirmation, our inability to meet them will not constitute a breach of contract.

8. Disabilities and Medical Issues

If you or any member of your party has a medical condition or disability that may affect your chosen arrangements, please provide full details before we confirm your booking. We will provide information on the suitability of the trip or holiday only upon request. If we are unable to accommodate your needs, we reserve the right to decline your booking or cancel it upon becoming aware of these details.

9. Price Variations

We reserve the right to adjust the price of unsold holiday arrangements at any time and to correct errors in confirmed prices. The price of your confirmed arrangements may vary due to changes in fuel costs, taxes, or costs imposed by third parties. Price variations will be calculated based on the cost differential resulting from these factors. If the price increase exceeds 8% of the total arrangement cost, you will be offered options as outlined in clause 4.

10. Changes and Cancellations by You

To make changes or cancel your arrangements, you must notify us as soon as possible in writing. While we will endeavour to accommodate changes, we cannot guarantee availability. Cancellation charges will apply as outlined below, except in unavoidable and extraordinary circumstances as defined in clause 11. If you fail to make payment as required, your booking may be cancelled, and cancellation charges will be applicable.

10.1 Cancellation costs:

Cancellation costs will be applied in accordance with the Cancellation Policy and costs. Please review the specific cancellation charges outlined below.

The cancellation policy specifies the local time of the provided services.

Cancellation Policy and Costs (fees)

The cancellation of travel services and/or tour packages incurs costs, the amount of which depends on the time remaining (local tame) before the departure date and is determined as follows:

Cancellation 63 days or more before the departure date
In the event of cancellation 63 days or more before the departure date, the following costs will apply:

  • The full cost of flights/transportation/any non-refundable tickets or services;
  • A Processing Cancellation Charge of 100 (one hundred) € per each booked service.

Cancellation 62–42 days before the departure date
In the event of cancellation between 62 and 42 days before the departure date, the following costs will apply:

  • The full cost of flights/transportation/any non-refundable tickets or services;
  • 30% of the cost of all other services related to the booking, including accommodation;
  • A Processing Cancellation Charge of 100 (one hundred) € per each booked service.

Cancellation 41–22 days before the departure date
In the event of cancellation between 41 and 22 days before the departure date, the following costs will apply:

  • The full cost of flights/transportation/any non-refundable tickets or services;
  • 50% of the cost of all other services related to the booking, including accommodation;
  • A Processing Cancellation Charge of 100 (one hundred) € per each booked service.

Cancellation less than 21 days before the departure date
In the event of cancellation less than 21 days before the departure date, the following costs will apply:

  • 100% of the total booking cost.

These cancellation costs apply to all bookings unless otherwise is specified in ypur personal cabinet and booking documentation.

Additional Charges

In the event of a booking cancellation, travelers may be subject to additional charges imposed by service providers or third parties in accordance with their commercial terms.

Furthermore, the customer is responsible for covering bank fees and transaction costs associated with the refund process.

10.2 Conditions for Non-Refundable Accommodation Rates

For bookings made under non-refundable accommodation rates, 100% of the booking cost will be charged in the event of cancellation, regardless of the cancellation date.

10.3 Conditions for Non-Refundable Ticket Cancellations

For cancellations of tickets booked under non-refundable rates (for any type of transportation), 100% of the ticket cost will be charged, regardless of the cancellation date.

10.4 Changes Requested by the Customer and Applicable costs

If the requested changes by the Customer can be accommodated, a Modification Processing Charge of 25 (twenty-five) € per each change will be applied, along with any additional costs incurred due to tariff changes or other expenses imposed by the service provider.

Changes to bookings are not permitted less than 10 (ten) days prior to the departure date.

10.5 Types of Changes Subject to costs

  • costs for changes include, but are not limited to, the following cases:
  • Change of hotel details, including dates, room type, meal plans, and other parameters;
  • Change of traveler’s name or personal details;
  • Change of transfer details;
  • Change of airtickets details;
  • Changes to any other additional services.

10.6 Changes and Cancellations by the Company

We reserve the right to make minor changes to your booking conditions prior to the departure date. In the event of significant changes caused by circumstances beyond our control (e.g., changes to accommodation or itinerary), we will promptly notify you and offer alternative options or a refund. Compensation may be provided under certain circumstances.

10.7 Changes and Cancellations After Departure

If we are unable to provide a significant portion of the services you booked after your departure, we will offer suitable alternatives or a price reduction. If the proposed alternatives are unacceptable, compensation may be granted in accordance with applicable laws and the terms of the agreement.

10.8 Changes and Cancellations by Service Providers

We will notify you of any changes or cancellations made by our service providers. You are required to inform us of your decision within the specified timeframe indicated in the notification. We are not responsible for changes or cancellations made by the service providers upon your request.

11 Unavoidable and Extraordinary Circumstances

We won't be held liable or provide compensation if circumstances beyond our control affect our contractual obligations to you. These include but aren't limited to war, civil strife, terrorist activity, government actions, industrial disputes, natural disasters, adverse weather conditions, and similar events. Advice from the Foreign Office to avoid specific countries may also fall under this category.

12 Assistance During Difficulty

If you've booked a package with us and encounter difficulty due to such circumstances, we'll promptly offer appropriate assistance. This may include providing information on health services, local authorities, facilitating communications, and arranging alternative travel. However, if the difficulty arises intentionally or due to your actions, a reasonable fee may apply for our assistance.

13 Complaints Procedure

If you experience any issues during your holiday, notify us promptly to customer.relation@azure-travel.com so we can take necessary steps to address them. Failure to do so may affect your eligibility for refunds or compensation. 

14 Behaviour Expectations

We reserve the right to terminate your arrangements if your behaviour jeopardises safety or causes disruption. In such cases, we will stop communication with you, and we won't be liable for any further expenses or losses incurred.

15 Our Responsibilities

When we mention a 'price reduction' here, we mean that we'll adjust the price you paid for the affected arrangements during any period of non-conformity, unless the lack of conformity is due to your actions. In cases of 'compensation,' we'll promptly compensate you for any damages resulting from non-conformity, subject to the limitations and exclusions outlined in section B of this clause.

A. Responsibilities Based on Booking Type:

(i) For Package Bookings:

As an "organiser" under Greek law/regulations, we accept responsibility for package travel and linked travel arrangements. In accordance with these booking conditions, if we fail to arrange or execute your package arrangements as agreed, we'll rectify any resulting lack of conformity. If rectification isn't feasible or entails disproportionate costs, we'll compensate you as per clause B.

(ii) For Other Bookings:

For all other bookings, we act as an agent/intermediary for various suppliers. We're obligated to select suppliers with reasonable skill and care to provide the services in your booking. Unless stated otherwise, we hold no liability for the actual provision of services, except in cases where our breach directly causes damage. As long as we've diligently chosen the suppliers, we bear no responsibility for incidents occurring during the service.

Please note:

  • You must demonstrate negligence on our part or that of our suppliers to file a claim against us.
  • It's imperative that you inform us and the relevant supplier(s) promptly of any perceived lack of conformity, allowing us a reasonable period to address it. Contact us at customer.relation@azure-travel.com or via our Customer Service support centre.

B. Limitations and Exclusions of Responsibility:

(i) We won't be liable for, nor provide a price reduction or compensation for, any lack of conformity, injury, illness, death, loss, or damage resulting from:

(a) Actions or omissions of the affected individuals.

(b) Acts or omissions of third parties unrelated to your arrangements, which were unforeseeable or unavoidable.

(c) Unavoidable and extraordinary circumstances outlined in clause 11.

(ii) We won't be liable for, nor provide a price reduction or compensation for:

(a) Services or facilities not included in our agreement or not advertised by us, such as excursions booked independently.

(b) Damages, losses, or expenses unforeseeable based on the information provided by you before confirming arrangements, or those related to business.

(iii) Any price reduction or compensation will be calculated considering factors such as:

(a) Adherence to complaints and notifications procedures.

(b) Negligence of ours, our employees, or suppliers impacting your overall experience.

(c) Deductions considering any compensation received from transport providers or hotels.

(Note: Recipients of any payment must assign rights to us or our insurers and provide reasonable assistance as required.)

16 Jurisdiction and Applicable Law

This contract and any issues stemming from it are governed solely by Greek law. We both acknowledge that the Courts of Thessaloniki, Greece, hold exclusive jurisdiction over any disputes, claims, or matters arising from or related to this contract or your holiday arrangements.

17 Financial Protection for Our Packages

We ensure the financial security of our flight-inclusive packages through a Letter of Guarantee submitted to the regulating authority. In the unfortunate event of our insolvency, you can reach out to the GNTO (Greek National Tourism Organization).

This guarantee covers various services such as flights, accommodation, car hire, and others, providing financial protection for your peace of mind. If you encounter any issues, you can find information on what's covered and whom to contact in case of emergencies. Please note that not all holiday or travel services offered by us are protected by the GNTO.

If you've booked arrangements other than a package organised by us, your funds will not be financially protected by our guarantee. For more information on this matter, feel free to contact us for further details.

18 Passport, Visa, and Health Requirements

It is your responsibility to ensure that you meet the passport, visa, health, and immigration requirements relevant to your travel plans. While we can offer general guidance on these matters, it is essential that you verify the specific requirements applicable to your situation with the relevant Embassies/Consulates and consult your physician as needed. Regulations may change, so it's important to stay informed well before your departure.

Many countries now mandate passports to remain valid for at least six months beyond the return date. If your passport is nearing expiration, it's advisable to confirm requirements with the Embassy of your destination country.

We cannot be held responsible if you are unable to travel or face any losses due to non-compliance with passport, visa, immigration requirements, or health formalities. By booking with us, you agree to indemnify us for any fines or losses incurred as a result of your failure to comply with these requirements.

19 Flights

As per Regulation (EC) No 2111/2005 Article 9, we're obligated to inform you about the "Community list" containing details of air carriers banned within the EU Community. You can access this list at https://ec.europa.eu/transport/modes/air/safety/air-ban_en.

According to EU Regulations, we must disclose the carrier(s) operating your flight(s) at the time of booking or, if not known, the likely carrier(s). If we can only provide likely carriers initially, we'll inform you of the actual carrier(s) as soon as possible. Any changes to the operating carrier(s) post-booking will be promptly communicated to you.

At the time of booking, we may not always confirm the aircraft type and flight timings. The details provided on our website, brochure, and confirmation invoice are for guidance only and are subject to change. It's crucial to check your tickets upon receipt for accurate flight times. Flight times may change even after ticket dispatch, so we recommend verifying them with the airline 24 hours before departure. Please also reconfirm your return journey's flight times.

Changes in carrier identity, flight timings, or aircraft type won't entitle you to cancel or change arrangements without incurring our normal charges unless specified otherwise.

In case of denied boarding, flight cancellation, or significant delay, the airline is responsible for providing assistance such as food, drinks, accommodation, and transport. You must claim this assistance and any compensation directly from the airline. Any claims made against us for compensation under EU Regulation 261/2004 must involve a complete assignment of your rights against the airline.

At the same time, we remind you to check-in according to the rules of the airline, usually check-in is available 24 hours before the scheduled time of departure, some companies open check-in 48 hours before the time departure.

20 Delay

We are unable to assume liability for delays resulting from unavoidable and extraordinary circumstances as outlined in clause 11. A delay or cancellation of your transportation service does not automatically grant you the right to cancel any other arrangements, even if they were made in conjunction with your transportation. However, you may be eligible to make a claim under the delay section of your travel insurance policy.

21 Booking conditions amendments and right to refuse travel arrangements

We retain the right to modify, add, or withdraw any of our booking conditions at any time and without prior notice. Additionally, we reserve the right to decline any booking.

22 Data Protection

We, as controller/processor of your personal data, will ensure your data is only used for lawful purposes in fulfilling our contractual obligations to you in providing your accommodation and related services. Without such information, we cannot complete your booking.We are committed to implementing appropriate security measures to safeguard your personal data. Your information will only be shared with the Service Providers or Suppliers involved in your travel arrangements or with other essential organisations for the delivery and execution of your Travel Services. Additionally, specific details may be shared with security or credit verification firms to identify and prevent fraudulent activities.

24 Personal account and comunication

The Personal Account is a personalized section of the Company’s website, accessible to the User after completing registration and authorization using a unique login (email address) and password. The Personal Account is intended for managing orders, receiving notifications, exchanging information with the Company, and other purposes stipulated by this Agreement.

The User agrees to maintain the confidentiality of their Personal Account access credentials, including the login and password, and not to disclose them to third parties. The User bears full responsibility for all actions performed through the Personal Account.

The email address provided during registration serves as the primary communication channel between the Company and the User. The User is required to regularly check their email, as well as notifications posted in the Personal Account. Messages sent by the Company to the User’s email address and/or posted in the Personal Account are deemed delivered and acknowledged at the moment they are sent or posted, regardless of whether the User has actually reviewed them.

Failure to promptly review information sent through these communication channels does not release the User from their obligations under this Agreement and cannot be used as grounds to claim that the information was inaccurate or incomplete. The User is obligated to respond promptly to notifications related to their orders and posted in the Personal Account.

25. Dicumentation

All documents related to the User's orders, including booking confirmations, invoices, vouchers, tickets, terms, and other conditions, will be available for review and download in the Personal Account. The time specified for document downloads in these documents corresponds to the UTC time zone.

The User is solely responsible for reviewing and downloading these documents in a timely manner. The Company shall not be held liable for any consequences resulting from the User's failure to review or download the documents, as well as for non-compliance with the rules and conditions outlined in these documents. The availability of documents in the Personal Account is considered sufficient notification to the User, regardless of whether they have been read or downloaded.

26 Important information

I Additional Beds

Prices for three and four people sharing a room are available upon request. Hotels that do not charge for children typically expect them to share existing sleeping arrangements with accompanying adults. Additional sleeping arrangements may incur an extra charge and could result in cramped conditions. If you have booked a family plan room type for two adults, it's probable that only the adults will be paying guests and receive bedding, while accompanying children will stay free of charge and share existing sleeping arrangements with the adults.

I Accommodation Ratings and Standards

Star ratings serve as a representation of the overall quality and standard of each accommodation type, typically considering factors such as available facilities, furnishings quality, dining options, and service levels.

However, star ratings lack a standardised approach and can vary significantly between countries and even within them. Moreover, some countries lack official rating systems altogether. Therefore, the displayed rating serves as an opinion and should be used solely as a guideline. If the Service Provider offers an official rating from a tourist board, we will aim to include it in the accommodation description.

Please note that we cannot guarantee the accuracy of provided ratings. All ratings are sourced from the respective Service Provider and do not reflect our personal assessments.

I Room Allocation

Upon check-in at your accommodation, a room will be assigned to you. It is your responsibility to confirm the check-in and check-out times directly with the Service Provider. Additionally, please be aware that rooms listed together on the booking itinerary do not guarantee adjacency or close proximity to each other.

I Flight/Bus Seats

Many airlines/carriers allow seat requests prior to travel, usually at an additional cost and contingent upon ticket issuance. Requests can be made through the airline's website using the "Airline Ref" provided on your Booking Confirmation/E-ticket.

However, seat reservations are not guaranteed and may be subject to change based on the airline's operational needs.

I General Baggage Allowance

The free checked baggage allowance varies by airline/carriers and destination. Typically, international long-haul flights/carriers allow 20kg for economy class, 30kg for business class, and 40kg for first class. 

For short flights/carriers, luggage may not be included and then you need to book it in advance and pay for this service according to the airline/carrier tariffs.

Excess charges apply if your allowance is exceeded. Baggage policies are regularly reviewed and subject to change. It's advisable to confirm the current limits with your travel consultant or airline prior to travel.

I Website Accuracy

Please note that descriptions on our website, www.azure-travel.com, are written months in advance. While we strive for accuracy, changes and errors may occur. We recommend checking for the latest holiday details at the time of booking. Additionally, please verify hotel descriptions and room types on the hotel's official website. Changes and alterations may also affect tour, cruise, and pre-planned self-drive itineraries due to various factors beyond our control.

I Check-in & Check-out Times

Check-in typically ranges from 2pm to 4pm, and check-out from 10am to 12 noon. Early check-in is subject to room availability and at the hotel's discretion. It's advisable to book and pay for accommodation from the night prior to arrival if you require early check-in.

I Climate

Climate charts and weather guides provided on our website are compiled with information from meteorological offices. However, they are for guidance only, and we cannot be held responsible for adverse weather conditions impacting your holiday enjoyment.

I Departure/Arriving Tax

Departure/arriving airport taxes are prepaid and included in the air ticket cost, varying by departure airport. Some countries impose separate departure taxes not included in the air ticket cost. Please confirm with us at the time of booking and ensure you have sufficient local funds available upon departure.

I Hotel Extras

Parking charges at hotels may apply and are not included in the price. Local taxes per room are payable at the hotel reception and may vary based on the hotel's star rating and location.
